Schedule

PM Assistant runs on its own. A scheduled check runs every five minutes, and each kind of message has a time window so it goes out once. Times below are Eastern Time and weekdays, as shipped; your administrator may have set different times for your install.

A Weekday

Monday

At about 9:00 am the weekly time report posts to the operations channel, covering the previous week. A separate rounded-entries warning goes to the channel when time entries look suspiciously round.

Task Budget Alerts

A budget alert is sent when a tracked person has a timer running on a task whose status is active or revisions, the task has an estimate, and the time spent has reached the estimate. It is picked up on the next five-minute check. A task that is over its estimate with no timer running, or one with no estimate, shows up only in the daily budget report.

Shift Ends by Region

The shipped shift ends are 5:00 pm for North America and for Europe, the Middle East and Africa, and 6:00 pm for Asia Pacific. People on full-day leave are skipped.

Who Is Covered

Only people whose records are marked for time tracking, and who have a ClickUp account, a Slack account, utilization hours and working days, are covered. A person missing any of these is skipped. A person's daily target is their utilization hours divided by their working days. Time off is read from one shared Google Calendar.

Weekends

The morning brief, budget report, end-of-day wrap and weekly report do not post at weekends. The Time Check for Yesterday summary does, repeating the last working day. A catch-up note is about your last working day, but it is sent every morning until that is no longer your most recent working day, so a note about Friday can arrive on Saturday, Sunday and Monday mornings until the time is logged.
