Examples

These walk-throughs use a made-up agency and contact. They show what you see on the Voice Calls screen.

Example 1: Approving a Brief While Dialing Is Off

Scenario: Your agency is testing Voice Outreach and has not turned dialing on.

Step 1: A brief arrives. Under Waiting For Your Approval you see a call to a marketing director at a SaaS company, with the goal of booking a meeting.

Step 2: You check the row. The row shows the contact, the company and the goal. It does not open the call's page, so the brief itself is not shown here.

Step 3: You click Approve Brief. The button changes to Approved, Dialing Is Off.

Step 4: Nothing is dialed. Your approval is recorded and no call is placed. The brief stays in the list. When your administrator turns dialing on, you can approve it again.

Example 2: A Call Goes Out and Comes Back

Scenario: Dialing is on and you are inside your calling hours.

Step 1: You approve. You click Approve Brief on a held brief. The pre-call checks run again and pass, and the call moves to Active Calls as Dialing.

Step 2: The call happens. The call shows as In Progress, then leaves Active Calls.

Step 3: The result appears. Within a few minutes it is in Recent Calls as Completed. Outcome says the contact asked for a meeting next week, and a recording link is shown. Transcript reads "Post-call audit clean."

Step 4: You follow up yourself. Voice Outreach does not copy the result to HubSpot, so you add any note to the CRM yourself.

Example 3: Approving After Hours

Scenario: It is 9 pm and you approve a brief.

Step 1: You click Approve Brief. The button reads Approved, Dials In Calling Hours.

Step 2: The approval stands. The call waits.

Step 3: The window reopens. At 9 am the next weekday the checks run once more. They pass and the call is placed. If the contact had been added to the Do Not Call list overnight, the call would go to Needs Review instead.

Example 4: A Call That Is Held for Review

Scenario: A call to a new contact never reaches the approval list.

Step 1: You see the count. Needs Review shows 1.

Step 2: You open the call. Pre-Call Checks shows Fail next to the phone number, with the detail that there is no phone number on the contact.

Step 3: You tell your administrator. The call is not placed. Once the contact has a valid number, ask your administrator to queue the call again.
