Voice Outreach works in the background all day, and it dials only when three things are true: dialing is turned on, a brief has been approved, and it is inside your calling hours.
What Runs on Its Own
- Preparing calls: every minute, it picks up queued calls and prepares them: contact details, brief, compliance review, and pre-call checks. It prepares up to two calls at a time. A prepared call waits for your approval.
- Collecting results: every 2 minutes, it checks CloudTalk for calls that have finished and records the disposition, summary, transcript, and recording.
- Optional automatic call types: every 5 minutes, it checks whether any are switched on. All are off by default. The Meeting Confirmation and Speed To Lead settings are saved but do not change how Voice Outreach behaves: turning them on queues no calls.
Calling Hours
The calling window defaults to 9 am to 8 pm in the New York time zone, weekdays only. Your administrator can change the hours, the time zone, and whether weekends are allowed.
- A call that is prepared outside the window is held and tried again on a later pass. It is not lost.
- A call you approve outside the window is marked Approved, Dials In Calling Hours and is placed when the window reopens. Before it dials, the checks run once more, and a failed check sends it to Needs Review.
Daily Limit
The daily limit, 100 by default, caps how many new calls Voice Outreach prepares each day and how many approved after-hours calls it releases. Calls you already approved that are waiting for their calling window are taken first. The limit applies to every call, including a brief you approve during calling hours: once the day's count reaches the limit, nothing more is dialed. A call approved after that point is marked Approved, Daily Cap Reached, Dials Tomorrow. Your approval stands, the call stays queued, and it is placed on the next day's budget, after the standing checks run again. It is never dropped. The day's count resets at midnight UTC.
When Dialing Is Off
Preparing and checking continue. Approving a brief is recorded, the call stays in Waiting For Your Approval, and nothing is placed.
