Finance

What It's For

Finance is a private view of your agency's own books: cash position, a cash flow forecast, income, expenses, what you owe, profit and loss, and the balance sheet. It is built from your QuickBooks Online books, your bank feed, uploaded bank exports, and card processor payout detail. It has its own web address, separate from the app and the Operator Console, and it is mostly read-only reporting. Finance is available by arrangement and is not part of a standard install; contact support@agenteous.com to discuss setting it up.

Your clients never see it. This page covers who on your team can see it and what they control.

Who Can See It

Finance access is granted per person. Being on your team does not give access; each person who needs Finance is added individually. Their role then decides what they can do:

  • Viewers can read every page. People costs show as totals only.
  • People who manage connections can also upload bank exports, enter balances, reclassify transactions, connect or disconnect QuickBooks and the bank, pin the forecast, and see the review list that itemizes people costs.

A person without the right permission who tries a restricted action is refused, and the attempt is recorded.

Pages

  • Overview: cash position, hourly blocks sold against target, and the forecast at a glance.
  • Cash Flow: a day-by-day forecast with recent actuals. People who manage connections can pin the current forecast to compare against later.
  • Income: clients, retainers, hourly blocks, and money owed to you.
  • Expenses: spending by category, recurring costs, and bank fees.
  • Owed By Us: unpaid supplier bills, and tax and payroll accrued.
  • Profit & Loss: the income statement by month from your books, with payroll combined.
  • Balance Sheet: assets, liabilities, and equity at recent month ends.
  • Data: the bank connection, export uploads, card balances, upload history, and the QuickBooks connection.

Statements can be exported to Excel.

Where the Numbers Come From

  • QuickBooks Online: synced about every four hours. Finance only reads from QuickBooks and never writes back to it.
  • Your bank: connected through Plaid, checked hourly for transactions and balances. You sign in on Plaid's own screen. If the bank stops accepting the saved sign-in, syncing pauses and the Data page shows Sign In To The Bank Again; check the Last successful sync time there to see whether the feed is current.
  • Uploaded exports: CSV files in the formats your install has been set up to read; the Data page lists them. A file in any other format is refused. Ask support@agenteous.com to add your bank's export format. Uploading the same dates again is safe and does not double count.
  • Card processor payouts: synced about every four hours with read-only access, so each deposit is split into the client payments inside it.

What You Control

Everything you change happens inside Finance. Uploads, balances, reclassifications, and pinned forecasts change what everyone with access sees, and they are recorded. Nothing is ever written back to QuickBooks or to your bank.

On the Data page, people who manage connections can:

  • Connect, reconnect, or disconnect QuickBooks. The connection is read-only, and its sign-in stays on your install.
  • Connect or reconnect the bank, or click Disconnect to remove the bank connection.
  • Upload exports and enter card balances.
  • Click Sync Now in the bank connection section to pull the latest bank transactions without waiting for the next hourly check.

  • Finance and operations leads: keep the bank feed and QuickBooks connected and upload exports so the numbers stay complete.
