Work Requests

What It's For

Work Requests is a request form your clients fill in to ask your agency for a piece of work. It sits inside your ClickUp workspace. An AI assistant asks a few clarifying questions, writes a scope of work, and the client approves it. On approval your team is emailed and the tasks are created in ClickUp for you. Work Requests is available by arrangement and is not part of a standard install; contact support@agenteous.com to discuss setting it up.

How Clients Reach It

There is no login. Each client gets their own signed link, and the form is shown inside ClickUp; it cannot be embedded anywhere else. The link identifies the client, so anyone holding it can submit requests for that client. Treat it like a password: if one leaks, it can be cancelled and a new one issued.

Opening the site's address directly, without a link, only shows a note that the page is reached through a work-order link. If Work Requests is not turned on for your install, the form says work orders are not enabled yet.

What Your Clients See

  1. The request form. Full name, email, the end client, a request title, a description, the desired delivery date, the type of work, whether it is new or existing work, deliverables, a desired start date, a HubSpot portal ID, access and systems needed, and reference files. Full name, email, the end client, the request title, the description, and the delivery date are required; everything else is optional, and a blank start date means today.
  2. Clarifying questions. The assistant may ask a short round of questions to fill gaps in the request.
  3. The drafted scope. The client reads the scope of work and can steer it a limited number of times. Until they choose Approve, the page says the request has not been submitted yet.
  4. Confirmation. After approval, the request goes to your team.

A request left unfinished is treated as abandoned after 24 hours as shipped. Uploads have a size limit per file and in total.

What Happens When a Client Approves

  • Your team is emailed at the one notification address set for your install. The address always comes from your settings, never from the form, so the form cannot be used to send email to anyone else.
  • ClickUp tasks are created automatically in that client's folder, in the list set up for requests, starting in its entry status (Processing as shipped). Dates, priority, an assignee, and dependencies between tasks are set where the request supports them. If the work is interrupted, it picks up where it stopped without creating duplicates.
  • A client whose code has no ClickUp folder set up cannot be converted into tasks until their folder is set up.

Emails to the client themselves, such as a PDF of their brief, are off unless your install turns them on.

What You Control

Work Requests has no screen in the Operator Console. Its settings are set for your install: whether it is on, which ClickUp folder each client's requests go to, the team notification address, client emails, and the limits on questions and revisions. Contact support@agenteous.com to change them or to issue a client link.

After the work is delivered, link each approved work order to the project it was delivered in on the Work Orders page of the Client Portal admin console. That link feeds the hours forecast.
