Notifications
Meeting Assistant posts to two channels depending on who attended the meeting. Meetings where the principal participated go to the principal's meeting channel. Team meetings where the principal was not in the room go to the team meeting channel. Both channels receive the same card formats.
Pre-Meeting Brief
When: Automatically before a calendar event (at a configurable lead time before the meeting), or immediately when you request one manually.
What it contains:
- Meeting title, time, and attendee count
- Summary of the meeting purpose and desired outcome
- Objectives: what success looks like for your side
- Key questions to ask the other participants
- Talking points to land during the call
- Items to confirm before leaving the room
- CRM context for external attendees, where available
Action required: None. This is informational. Review before the meeting starts.
Post-Meeting Report
When: After the meeting ends, once a transcript is available from the transcription source.
What it contains:
- Meeting title, date, duration, and attendee list
- Summary of the meeting's purpose and main outcome
- Narrative: what was discussed, in order
- Key decisions made during the meeting
- Action items as interactive checkboxes, each with an owner and a due timeline
- Items that came up but still need follow-up or confirmation
- Next steps between now and the next interaction
Action required: Review the action item checkboxes. Check any you want to create as tasks in your project tool. Leave unchecked any you want to skip.
Follow-Up Draft Approval Card
When: After a post-meeting report is processed and follow-up drafts have been written and reviewed by Marketing Brand Guard.
What it contains:
- A card indicating the number of drafts ready and the recipients
- A preview of each draft (subject line and body)
- Approve, Redraft, and Skip buttons
Action required: Review each draft. Click Approve when the drafts are ready to send from your mail client. Click Redraft with a note if a draft needs changes. Click Skip if you do not want to send a draft for this meeting.
Ambiguity or Missing Transcript Notice
When: When the agent cannot match an attendee to a CRM record, or when a transcript has not arrived within four hours of the meeting's end time.
What it contains:
- A short note identifying the gap: which attendee is unmatched (with candidate CRM records listed if there are multiple partial matches), or which meeting has no transcript yet
- What you can do to resolve it
Action required: For an unmatched attendee, reply with the correct CRM record to use. For a missing transcript, check that your transcription integration captured the call.
Brand Guard Rejection Notice
When: Marketing Brand Guard reviews a follow-up draft and finds a compliance issue.
What it contains:
- Which draft was flagged and why
- A Redraft button
Action required: Click Redraft to generate a revised version, or review the flagged content yourself and request a specific change.
