Meeting Assistant checks for work every five minutes. Each check covers two jobs: briefs for upcoming meetings, and reports for finished ones.
Pre-Meeting Briefs
The assistant looks at calendar events starting in the next 25 hours. For each eligible meeting it posts one brief about 45 minutes before the start. The lead time is set in the Operator Console, under Sales, in Meeting Assistant. A meeting that is added late still gets a brief if it has not started.
Where the brief goes is set there as well. By default it goes to Slack and by email. The Slack card goes to the principal's channel or the team channel, depending on who is on the call. The email goes to people from your agency on the invite who have meeting prep notifications on.
These are skipped: meetings that have already started, all-day blocks, cancelled events, and blocks with no other attendee.
Post-Meeting Reports
The assistant looks for transcripts from the last 48 hours in your connected meeting service. Each new transcript becomes one report, posted to the same channel the brief used and listed on the Meetings page. A check handles up to three reports, so a busy day may spread over a few checks.
If a transcript comes back empty, that meeting is skipped without a message. No notice is posted for a missing transcript. If your meeting service missed a call, use Submit a Transcript on the Meetings page.
Follow-Up Drafts
Follow-up drafts are written automatically with every report, one per external attendee. You cannot request them separately. A card for approving them goes to the principal's private Slack messages for meetings where the principal is the only person from your agency on the call with outside guests. If your agency has turned on business hours, the card waits until the working day. The shipped setting is off, so the card posts straight away.
Only When You Ask
You can ask for a brief on the Meetings page at any time. You can also submit a transcript yourself. Neither one depends on the five-minute check.
