Frequently Asked Questions
Does the Agent Send Emails on My Behalf?
No. Meeting Assistant writes follow-up drafts to your email drafts folder. Nothing is sent until you open your mail client and click Send. The Approve button in the Slack card confirms you have reviewed the drafts, not that they have been sent.
Can I Get a Brief for a Meeting That Has Already Started?
Yes. Request one in Slack at any time and Meeting Assistant will generate it immediately from whatever calendar and CRM context is available. The brief will note if there is not much context to work with.
Why Did My Brief Not Include Any Background on an Attendee?
The brief only includes what is in the CRM for that person. If an attendee is not in the CRM, or if the CRM record has no relevant history, the brief will say so. To add context, update the CRM record before the meeting and request a fresh brief.
Can I Get a Briefing for a Recurring Meeting Every Week Automatically?
Yes. The agent generates briefings automatically for every calendar event at the configured lead times. Recurring meetings receive a fresh brief each time, drawing on any CRM updates since the last one.
Why Did My Post-Meeting Report Not Include Certain Action Items?
The agent only includes action items that the transcript clearly supports. If something was discussed informally or outside the transcribed portion of the call, it will not appear. If an action item from the meeting is missing, you can check the appropriate box manually or ask Meeting Assistant to add it.
Can I Ask Meeting Assistant to Redraft a Follow-Up Email?
Yes. Click the Redraft button on the approval card and add a note about what to change. The agent will produce a revised version using the same meeting context.
Does Meeting Assistant Create Tasks Automatically?
No. The agent proposes action items as checkboxes on the report card. Tasks are only created in your project tool when you check a box. Nothing is created or deleted without your action.
Common Issues
The Post-Meeting Report Has Not Arrived
What to check:
- Check whether the transcription integration captured the call. If the meeting was not recorded or the transcription source was not connected to the call, there will be no transcript to process.
- Wait up to four hours after the meeting ends. Some transcription services take time to deliver the file.
- If more than four hours have passed and no report has arrived, check the team channel for a notice from Meeting Assistant. It posts a short message when it cannot find a transcript rather than waiting indefinitely.
- If the notice says the transcript source returned an error, check that the transcription integration is active in the Agenteous app settings.
The Brief Is Missing CRM Context
What to check:
- Confirm the external attendees are in the CRM with the email addresses that appear on the calendar invite. Meeting Assistant matches on email address.
- Check that the CRM integration is active. If the connection has lapsed, the brief will still generate but without CRM data.
- If the attendee is in the CRM under a different email, ask your team to add the calendar email as an alias on the CRM contact record.
An Action Item Checkbox Is Greyed Out
What to check:
- A greyed-out checkbox means the task creation for that item encountered an error. The agent will have posted a short note in the team channel with the reason.
- Check that the project tool integration is active and that your account has permission to create tasks in the destination project.
- If the project tool connection looks healthy, try checking the box again. If it fails a second time, contact support@agenteous.com with the meeting name and the action item text.
A Follow-Up Draft Was Flagged and Not Surfaced
What to check:
- When Marketing Brand Guard reviews a draft and finds a compliance issue, Meeting Assistant does not surface that draft on the approval card. Instead it posts the reason in the meeting channel and offers a Redraft button.
- Click Redraft to produce a revised version. If the same issue recurs, the flagged content likely conflicts with your brand guidelines. Contact support@agenteous.com if you think the review was incorrect.
The Agent Says It Cannot Find a Meeting I Mentioned
What to check:
- Meeting Assistant matches on calendar event titles and times. If you used a nickname or shorthand, try rephrasing with the exact title from your calendar.
- Confirm the calendar integration is connected. If it has lapsed, Meeting Assistant cannot see upcoming events.
- For past meetings, the agent retrieves transcripts from the transcription source. If the meeting predates the integration connection, no transcript will be available.
