Meeting Assistant
What It's For
This is where you set up the Meeting Assistant and review what it has done. In the Operator Console, under Sales & Meetings, open Meeting Assistant. Two tabs run across the top: Configure for its settings and Monitor for its recent work.
The Meeting Assistant works on its own, checking every five minutes. Before a meeting it sends a brief on the people and company you are meeting. After a meeting it turns the transcript into a report with decisions, action items and follow-up email drafts. Configure decides how far ahead briefs arrive, which calendars are read, where briefs land and how much history they carry. Monitor lets you check after the fact that reports, briefs and drafts were produced.
Configure
Pre-Meeting Brief
- Lead time (minutes): how long before each meeting the brief is sent, from 1 to 1,440 (one day). Agenteous ships with 45 minutes.
Watched Calendars
Each staff mailbox's default calendar is always watched and cannot be switched off (it shows Always watched). Tick any additional calendar for the assistant to read as well. Unticking a calendar stops new events arriving from it and also removes the events already brought in from it. A calendar shared into two mailboxes and ticked in both is read twice.
Brief Destination
Send brief to offers Email (Drafts), Slack (DM) or Both. Email puts the brief in your Gmail Drafts, and you click Send yourself. Slack posts it to you as a direct message. Agenteous ships with Both. The Slack and Both options appear only when Slack is connected.
Relationship Context
How much history from your CRM each brief carries.
- Look back (months): how far back to look for prior meetings, calls and emails with the same people and company, from 1 to 24 (default 6).
- Fresh summaries per brief: how many earlier meetings may be newly summarised for one brief, from 0 to 10 (default 2). Meetings already summarised are reused at no extra cost; 0 turns fresh summaries off.
- Sections to include: Prior Interactions, Deal Context, Company Snapshot and Attendee Profiles. These are built from your CRM records rather than written by the AI. Switching one off removes it from both the email and the Slack version.
Click Save Settings to apply. A badge reads Custom settings or Using defaults.
Monitor
A read-only review of recent work. Nothing here sends or changes anything.
Recent Post-Meeting Reports
One row per transcribed meeting: Meeting (the meeting's title), Started, Routing (the principal's channel or the team channel), Decisions, Action Items, Follow-Up Drafts and Model. Follow-up drafts are written automatically as part of each report. When brand checking is set to Enforce or Warn in Brand Compliance, each draft goes through the compliance check; with Off, the check is skipped and each draft is counted as marked for changes. Drafts the check does not reject wait on an approval card in the sender's own Slack direct messages, posted only when that person's mailbox is connected; approving one puts it in Gmail Drafts, and you send it from Gmail. Under Enforce, drafts the check rejects are dropped; under Warn the check never rejects, so a draft it would have rejected is kept and counted as marked for changes. The Follow-Up Drafts column shows how many have been approved into Gmail out of the total, and how many the check marked for changes (redline) or rejected. Up to three reports are produced every five minutes; any more wait for the next round.
Recent Pre-Meeting Briefs
One row per brief: Meeting (the meeting's title, or Untitled Meeting when the calendar event has none), Kind (the lead time it was built for), Generated, Model and Posted. Posted reads Yes only when the brief went to Slack, so a brief delivered by email alone shows No.
Pipeline Activity (Forensic Log)
A timeline of each step the assistant took, with Stage, Status (ok, error or skip), Elapsed, Meeting (the meeting's title, blank for steps that are not about one meeting), Detail and When. Use it to see exactly where a report stalled or a draft failed.
Who Uses It
- Account managers and sales leads: decide how far ahead briefs arrive and what they contain.
- Operations: check Monitor when someone says a brief or follow-up never arrived.
- Saving settings needs the Ops Admin, Admin Operator or CCO role.
